Privacy Policy

This policy explains how DoorBrief Operations LLC ("DoorBrief", "we") handles information when you visit doorbrief.site or use the DoorBrief service. Questions go to [email protected].

1. Our role

For account and website information, DoorBrief decides how information is used. For information our customers enter about properties, units, tenants, vendors, and maintenance requests ("Customer Data"), we process it on behalf of the customer, following their instructions. Tenants and vendors with questions about their data should contact the property manager who uses DoorBrief.

2. Information we collect

  • Account information: name, email, organization, role, and sign-in details.
  • Customer Data: property and unit details, maintenance requests, messages, photos, tenant and vendor contact details, and work-order history.
  • Billing information: plan and payment status. Card details are handled by Stripe, not stored by DoorBrief.
  • Usage information: pages visited, device and browser type, and first-party analytics.
  • Communications: messages you send to our support, billing, or privacy mailboxes.

3. How we use information

  • Provide, secure, and support the service, including preparing repair briefs and drafts.
  • Process payments and manage subscriptions.
  • Send account, security, billing, and service notices.
  • Understand usage and improve DoorBrief.
  • Meet legal obligations and enforce our Terms of Service.

We do not sell personal information and do not use it for third-party advertising.

4. AI inference

DoorBrief uses OpenAI GPT-4o via API for inference. Customer data is used for inference only and is not used to train the model. DoorBrief keeps vendor briefs and tenant updates in draft status until a human user reviews and sends them.

5. Service providers

We share information only with providers that help us run DoorBrief, under contractual obligations:

  • Amazon Web Services (hosting, us-east-1)
  • OpenAI (AI inference)
  • Stripe (payments)

If you connect a property management system, data is exchanged with that system as you configure it. We may also disclose information when required by law or as part of a merger or acquisition, subject to this policy.

6. Security

Data is encrypted with AES-256 at rest and TLS 1.3 in transit. Customer Data is logically isolated through organization-scoped database access, and access within a workspace follows the Admin, Coordinator, and Viewer roles. More on our Security page.

7. Retention

We keep account and Customer Data while the workspace is active. After a workspace is closed, we delete or de-identify Customer Data on request or when it is no longer needed, except where we must keep records for legal, tax, or billing reasons.

8. Your choices and rights

You can update account details in your settings and manage emails on the email preferences page. Depending on where you live, you may have the right to access, correct, delete, or export your personal information. Email [email protected] and we will respond as required by applicable law.

9. Cookies

DoorBrief uses essential cookies for session and authentication, first-party analytics cookies, and functional cookies. DoorBrief does not use third-party marketing pixels. See the Cookie Policy.

10. Children

DoorBrief is a business service and is not directed to children under 16.

11. Where data is processed

DoorBrief is hosted in the United States (AWS us-east-1). By using the service, information is processed there.

12. Changes to this policy

We will update the effective date when this policy changes and notify workspace administrators of material changes.
